The Super Application (SuperApp) is an application filled out by APSC-affiliated undergraduate student groups to provide documentation about their activities and group management.
The application consists of a combination of a PDF form, alongside a funding/roster spreadsheet. Design Teams also need to fill out Project Overview forms.
The SuperApp is broken down into three different types: Design Teams, E-IDEAS Affinity Groups, and Clubs + Chapters with the latter groups having forms that now better fit their needs.

The SuperApp for 2024-25 will open in late summer. Check this page for updates.

Student groups
The application encompasses student groups who fall under the following categories:
- Engineering Design Teams
- E-IDEAS (EDI Affinity Student Groups)
- Student Clubs/Associations
- EUS affiliated, EUS Program Club, EUS Ex-Officio Club, Professional Chapter
- Other
- eg. independent student projects
Students seeking funding for travel & conferences are not covered under this application.

Templates
Throughout the Super Application, you will be asked to upload completed templates regarding student group registration and funding. The following templates are listed below for you to complete. Please note that each student group category below has a different template, accommodated to their characteristics.
Engineering Design Teams - Term 1

E-IDEAS (EDI Affinity Student Groups) - Term 1
E-IDEAS Affinity Groups have a flexible submission format but must follow some basic criteria. The full list of requirements and explanations for E-IDEAS groups can be found in the E-IDEAS Super Application Guide.
You can submit using your own files or the templates provided below:

If your student group plans to apply for PAF, please head over to the PAF website. Unlike design teams, E-IDEAS groups submit a separate PAF application if they wish to apply.
Professional Associations and Industry Student Chapters; Program and Department Clubs; Other Engineering Clubs - Term 1

- Group Policy Handbook (required) - While Clubs and Chapters do not have to fully establish the handbook, we ask for basic documentation such as safety plans and membership policies to ensure student group success. More information can be found in the Basic Information Form.

- Clubs + Chapters - Super Application Budget and Roster.
If your student group plans to apply for PAF, please head over to the PAF website. Unlike design teams, Clubs and Chapters submit a separate PAF application if they wish to apply.

Basic Information Forms
For example responses and a full list of changes throughout the SuperApp, refer to the Basic Information Guidebook.
This year, we are introducing the SuperApp as a fillable PDF instead of a Word document. Utilizing a PDF form offers several advantages and limitations. It facilitates easier completion tracking and enables quick data export while maintaining a consistent format across all applications. However, it's important to note that collaborative work on the form becomes more complex as it may break when opened in Google Docs.
- If a single person intends to complete the form on behalf of the team, they can directly open it using the latest version of Google Chrome or the free Adobe Reader. If your student group requires a .docx version of the application for sharing purposes, please email studentgroups@apsc.ubc.ca, but you must submit the PDF form (without flattening/rasterizing) as the final product.
- For collaborative work on the form, we recommend creating a free account on DocHub. The file administrator can then add collaborators to jointly work on the document.
Funding Spreadsheets
We will be introducing three different types of funding/roster spreadsheets for the three distinct student group types. This approach guarantees that non-EDT groups will not need to undergo procedures/sheets that are only applicable to design teams.
For Design Teams only:
This spreadsheet also supports PAF Term 1 applications. This unified approach allows us to collect the necessary data through the SuperApp funding spreadsheet, eliminating the need for Design Teams to fill out redundant forms. All other groups wishing to apply for PAF will have to do it separately through the PAF website. The spreadsheet asks for information on Project Finances,
Current and Previous Year Budgets, as well as the Team Roster. Design Teams applying for PAF T1 must also fill out the PD Opportunities sheets, as well as Other Expenses. Full details on how to complete the spreadsheet is found below:
EDT Funding Application 2023/24 - Handbook
For E-IDEAS Affinity Groups:
For the Finances portion of the SuperApp, E-IDEAS groups are able to explore three options:
- Use their own documents, as long as they follow the Guide linked above
- Use the provided SuperApp Finances template
- Use the provided SuperApp Form template, which also includes the finances section
In any case, we ask for an account of previous and current year budgets, executives roster, student roster (with consent), a brief events overview and optional departmental funding requests.
For other student groups:
Fill out the Clubs+Chapters Finances spreadsheet. It asks for a list of executives, previous and current year budgets, and optional departmental funding requests.
Training for Engineering Student Leaders
The training for Engineering Student Leaders 2023 has a set of mandatory training modules to prepare APSC student leaders, execs, and team leads for their roles in the upcoming year; there is one module for PAF and one for the SuperApp. Only student group executives have access to the TESL course. If you are an executive but haven't received access, or have any questions or concerns, please contact studentgroups@apsc.ubc.ca.
