EDC Booking Guidelines

Teams who do not adhere to these guidelines may lose booking privileges.

  • Students should be respectful of this space and leave the rooms as they found it.
    • This includes returning tables and chairs to their original location, cleaning up any messes from minor design work and/or prototyping, and removing all project materials and personal items from the space before leaving.
  • If a team is more than 30 minutes late to their scheduled booking, they will lose their reservation.
    • This means that the room will be available to any EDT on a “first come, first served” basis for the remainder of the booking time.
  • We expect all teams to honour their bookings as we are trying to maximize space usage. Please notify us and/or the rest of the teams if you are not planning to use the space.
    • Students must stay within the room capacity limits listed above.
  • These rooms are not intended for any major prototyping - they are for general meetings, planning, and designing.

DO YOU STILL REQUIRE MEETING SPACE?

  • Consider booking a general teaching space through UBC’s general website.  If you select this option, Minoli will be required to sign the authorization form – please send this to her ASAP.
  • Some APSC departments have select rooms available for students to book. Please follow the instructions that are available here.
    • APSC PD has no control over how other departments chose to manage their spaces. If you do not see a room listed, then it may not be available for student use.
  • EDC 301/303/320 – We have finished taking requests for recurring meetings in these spaces for 2023/24. If you are looking for one or two specific dates, please feel free to email the EDT Coordinator (team.engineering@ubc.ca).
    • If there are times that the rooms are available (and not booked), these are available on a “first come, first served” basis. A reminder to teams that this is a shared space used by student groups, classes, and other APSC community members.
